BIOTIME Media Release & Photo/Video Consent
- Document ID:
- BT-MR-1.0
- Version:
- 1.0
- Effective date:
- 29 August 2026
This is an optional consent. It is not required to purchase or use a BIOTIME Membership.
1. Purpose
BIOTIME may occasionally wish to photograph, film or otherwise record Members or guests for genuine BIOTIME communications, brand, promotional or marketing purposes. This consent provides a separate, optional legal basis for the uses described below.
2. Voluntary Consent
Giving this consent is entirely optional. Refusing or later withdrawing consent will not affect eligibility to purchase a Membership, access the Club, receive onboarding, use included services or receive necessary Member communications.
3. What Media May Be Captured
If consent is given, BIOTIME may capture photographs, video recordings and, where relevant to an approved recording, audio containing the consenting person's image, likeness, appearance, voice or participation.
4. Approved Purposes
Subject to the scope selected by the individual, approved media may be used for BIOTIME's own website, social-media channels, digital advertising, printed promotional materials, Club displays, presentations, press or public-relations materials, recruitment or corporate communications, and other genuine BIOTIME brand communications consistent with the consent given.
5. No General Right Created by Membership
Entering the Club, being a Member, appearing incidentally on CCTV, or accepting Membership Terms does not by itself grant BIOTIME permission to use a person's identifiable image or likeness for marketing. Marketing media use is governed separately through this consent or another lawful basis.
6. Scope and Context
BIOTIME will use media in a manner reasonably consistent with the context in which it was captured and the scope of consent. BIOTIME will not knowingly use the media in a materially misleading, defamatory, degrading or unlawful context.
7. Editing
BIOTIME may reasonably crop, resize, subtitle, format, combine, edit or adapt approved media for the permitted purposes, provided that editing does not materially misrepresent the consenting person or create an unlawful or seriously misleading impression.
8. Channels
Where consent covers marketing publication, media may appear on BIOTIME-owned channels and BIOTIME-controlled advertising placements, including the BIOTIME website and official social-media accounts. Publication by a social-media or advertising platform may also be subject to that platform's own terms and technical processing.
9. Third-Party Production Providers
BIOTIME may provide approved media to photographers, videographers, designers, advertising agencies, printers, production companies, hosting providers or other service providers acting for BIOTIME where reasonably necessary to create, manage or publish the approved materials. Appropriate confidentiality, security and data-protection arrangements will be used according to the provider's role.
10. No Sale for Unrelated Third-Party Advertising
This consent does not authorize BIOTIME to sell a person's image or likeness to unrelated third parties for those third parties' independent advertising. Any materially different use would require a separate legal assessment and, where required, separate consent.
11. Compensation
Unless BIOTIME and the individual expressly agree otherwise in writing for a specific production, no payment, royalty or other compensation is due merely because approved media is captured or used within the scope of this consent.
12. Duration of Consent
Consent remains effective until withdrawn, subject to applicable law. BIOTIME may also define a shorter campaign or project period in a specific consent interface or production release.
13. Withdrawal
The individual may withdraw consent for future use at any time through BIOTIME's official privacy/contact channels. Withdrawal does not affect processing or publication lawfully carried out before withdrawal.
14. Effect of Withdrawal on Existing Materials
After withdrawal, BIOTIME will stop new uses within the withdrawn scope within a reasonable implementation period and will take reasonable steps to remove or replace media from BIOTIME-controlled digital channels where practicable. Withdrawal may not require recall of printed materials already distributed, deletion of lawful historical records, removal from third-party publications outside BIOTIME's control, or reversal of advertising already delivered before withdrawal.
15. Social-Media Reposts and Third-Party Copies
Once material has been lawfully published online, third parties may independently share, cache, archive or reproduce it outside BIOTIME's control. BIOTIME will not be responsible for independent third-party actions for which it is not legally responsible, but will take reasonable action concerning BIOTIME-controlled copies following a valid withdrawal.
16. Retention
BIOTIME may retain original and edited media, consent evidence and production records for as long as reasonably necessary for the permitted purposes, campaign administration, legal compliance, dispute resolution or establishment, exercise or defense of legal claims. Following withdrawal, retention will be limited to what remains lawfully necessary.
17. Consent Evidence
BIOTIME may retain the person's identifier, consent status, exact consent wording, version, language, timestamp, scope, channel or collection source, and withdrawal information to demonstrate the consent history.
18. Sensitive or Private Areas
BIOTIME will not rely on this general Media Release to conduct promotional photography or filming in toilets, showers, changing areas or other areas where a high expectation of privacy applies. Any exceptional production involving a sensitive setting would require a separate assessment and specific arrangements.
19. Other Members and Guests
A person giving this consent does not have authority to consent on behalf of other identifiable Members or guests. BIOTIME production teams should take reasonable steps to avoid identifiable capture of persons who have not consented where consent or another legal basis is required.
20. CCTV Is Separate
CCTV footage collected for safety, security and incident purposes is governed by BT-CCTV-1.0. This Media Release does not convert CCTV surveillance into routine marketing footage.
21. Relationship to Marketing Consent
Consent to receive marketing messages under BT-MKT-1.0 is different from consent to use a person's image or likeness. A person may consent to one and refuse the other.
22. Relationship to Privacy Notice
Processing of photographs, video, audio and consent records is further described under BT-PP-1.0. This document provides the specific optional permission for media uses within its stated scope.
23. Recommended Consent Wording
Optional media consent: “I consent to BIOTIME capturing and using photographs and video in which I am identifiable for BIOTIME's own brand, communications and marketing purposes as described in the BIOTIME Media Release. I understand that this is optional and that I may withdraw my consent for future use at any time.”
24. Granular Options
Where practical, BIOTIME may offer separate choices for: (a) organic BIOTIME website/social-media use; (b) paid digital advertising; and (c) print, press or corporate materials. If granular choices are offered, BIOTIME will respect the selected scope.
25. Minors
Standard BIOTIME Membership is for persons aged 20 or above. This standard Media Release is not intended for minors. Any future production involving a minor requires a separate legal and consent process before capture or publication.
26. Changes to This Release
BIOTIME may update this Media Release for future consents. The version accepted by an individual will remain identifiable in BIOTIME's consent records. A later version will not automatically expand an earlier consent beyond its lawful scope.
27. Contact
Consent withdrawals, preference changes and questions about media use should be directed through BIOTIME's official privacy/contact channels published on biotime.club.
